ICC 365
Privacy Policy
ICC 365 – Indian Cultural Competitions ("ICC", "we", "us"), respects your privacy. This policy explains what we collect when you use this website or register for a competition, why we collect it, who can see it and what choices you have. It follows the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
What we collect
- Participant details: name, date of birth, gender (optional), city and state.
- Parent or guardian: the parent or guardian's name, required for every participant under 18.
- Contact details: mobile number (used for the one-time code, OTP) and email address (optional).
- Your entry: the video link you send (YouTube or Google Drive), answers to the competition's questions, group size for group entries and, for quizzes, your answers, score, time taken and how many times you left the quiz screen.
- Venue competitions: whether the participant was present or absent on the day.
- Payments: the amount, payment status, payment method and the payment reference that Razorpay sends us. Card, UPI and bank details are entered only on Razorpay's secure page; we never receive your full card number, CVV, UPI PIN or net-banking password.
- Questions you send us through the Help form, with your name and mobile number.
- Security data: your IP address and browser type when you verify your mobile number, sign in or take a quiz, to stop misuse.
How we use it
- To register participants, place them in the right age group and give each one a Contestant ID.
- To run the competition: hall tickets for venue rounds, judging, results, winner lists and e-certificates.
- To take payments and handle refunds.
- To answer your questions and tell you about your entry.
- To keep the website safe, prevent fraud and duplicate entries, and meet legal and tax requirements.
We do not sell your data and we do not use it for advertising.
What is shown publicly
Some details are published so that families can check entries and results. Your mobile number, email, date of birth and parent's name are never shown publicly.
- Registered contestants list: participant name, Contestant ID, competition and age group, and the entry video on the ICC YouTube channel once published.
- Winners: name, city, photo (if you give us one), place, competition, age group and video.
- Entry videos: published on the ICC YouTube channel and shown on this website.
- Certificates: anyone who has a certificate's code (printed on it with a QR code) can check it online and see the name, competition, age group, event and place.
Who we share it with
Only with the services that help us run the competitions, and only what they need:
- Razorpay, for payments and refunds.
- Our hosting provider, which stores the website and its data on secure servers.
- YouTube (Google), for entry and winner videos that we publish.
- A messaging provider (WhatsApp or SMS), to send one-time codes and updates about your entry, once this is switched on.
- Government authorities, when the law requires it.
Cookies
- Sign-in cookie: keeps you signed in to My account for up to 30 days (it ends sooner if you sign out or do not visit for 14 days).
- Form draft: a half-filled registration form is kept in your browser tab until you close it, so you don't lose it.
- Website statistics: we may use Google Analytics to count visits and improve the website.
- Videos: YouTube videos load in privacy-enhanced mode, and only when you press play.
Children
Most participants are children. A parent or guardian must fill the form, give consent for their child to take part and agree to the publishing described above. We collect only what is needed to run the competition, and we do not track children or show them advertisements.
How long we keep it
- One-time codes (OTP) are stored only as a scrambled code and deleted after one day.
- Registration, result and certificate records are kept while needed for the competition and so certificates can be checked later.
- Payment records are kept for as long as Indian tax and accounting laws require.
Your rights
- See and correct: parents can update their name, email and children's details in My account. A participant's name and date of birth cannot be changed online after registering; contact us to correct them.
- Delete or withdraw consent: you can ask us to delete your details, or to remove a video, photo or name from the website. We will do it except for records the law requires us to keep (for example payment records). Removing an entry's details may withdraw it from a competition that is still running.
- Complaints: contact our grievance contact below. If you are not satisfied, you can approach the Data Protection Board of India.
Security
Data is sent over a secure (HTTPS) connection, codes and passwords are stored scrambled, and only authorised ICC staff, each with limited access, can see participant details.
Changes
We may update this policy. The date at the top shows the latest version; important changes will also be shown on the website.
